Privacy Policy — ServicePilot

Information we collect. When a homeowner calls (855) 953-1770 or submits the lead form on our homepage, we collect the homeowner's name, email, phone number, and service address. When a contractor onboards through /contractors, we collect the business name, owner name, phone, email, trade, and service area. Inbound calls to the line above are recorded and transcribed so the AI agent can book the appointment and produce a call summary.

How we use it. Homeowner data is used to route the call to the matched contractor (call_logs.dispatched_to), to send an SMS appointment confirmation through Twilio, to create a slot on the contractor's Google Calendar, and to email a job summary to the contractor. Each call and its summary are written to db/call_logs along with the matching db/customers row.

Third-party sharing. We share the minimum data needed for each step of the booking flow: Twilio handles the voice call and SMS confirmations, VAPI provides the voice AI and produces the transcript, Google Calendar stores the booked job slot, Stripe generates a payment link only after a job is completed, and our SMTP/Polsia email proxy delivers the contractor notification. We do not sell personal data, and we do not share homeowner information with parties outside of the matched contractor and the services above.

Data retention. call_logs and customers rows persist for the operating life of the contractor's account so we can resurface job history and resolve disputes. Aggregated, de-identified summaries may be retained longer for product analytics. The authoritative schema lives in lib/ and migrations/.
